{Podcast} Savvy Business Show #57: How to hire the best virtual assistant!


Today on the Savvy Business Show, I’m talking with mastermind member Kayse Renfro of The Daily Maven. We are talking about steps you can take to hire the best virtual assistant for you and your business.

Usually, it’s a big life event or similar type moment – that you are like okay wait I need to help. There are so many areas of your business you can outsource. 

Start by getting clear on what you love and don’t love to do in your business. This will start to build a list of tasks or areas of your business that you can outsource and what type of person you are looking for.

Ask yourself these questions:

  • What is not getting done?
  • What daily tasks or projects are you not getting done?
  • If you could get to that one thing that you keep pushing off what would that look like in your business? 

While most Virtual Assistants are well versed in a lot of areas that doesn’t mean they enjoy doing everything. Ask the person you are talking with what they love doing most.

If you are looking for someone to help with social media, you may want to hire a social media manager specifically. You can always hire a VA on a project only bases.

When talking about one of the biggest reasons that a VA doesn’t work out is because of communication.

Communication is key to having a successful relationship. Set the clear expectation upfront.

A lot of business owners might find that they have a hard time to let go or learn what to delegate when they discover that they do need help. Kayse says, to start small when handing over the tasks or projects and just go from there. 

Let them take over that one piece and then grow it to the next thing and the next thing; pretty soon they will be well versed in your business and they will care for it like you do if you find a good person.

Creating a natural progression to expand that role and look at the things you don’t enjoy doing that someone might have a better skillset at doing or just free up your time to focus on other things in your business. 

Give your assistant the tools to set them up for success. Let them know exactly what you are looking for, how you want things done, etc.

It’s great to have them help you come up with better ways to do it but be honest and let them know your way first. They don’t just magically know what you want without them telling you. 

Remember a VA is task-oriented and takes on assigned specific projects to help a client achieve a defined outcome. An Online Business Manager works to help build strategy and manages projects from start to finish. 

Hiring help is not an expense, its an investment to spend more time with your family and the ability to spend more time doing the things you love.

Today, on the Savvy Business Show I’m calling BS on how working hard is the only way to success. 

Not too long ago I did a social media declutter so that I could make room for what I am cultivating for the next level of my business. During this time I stumbled on several quotes but one really stood out to me.

I call BS on this quote someone shared “I find that the harder I work the more luck I seem to have” 

Let’s get something straight – harder doesn’t mean better, it doesn’t mean more success, and it doesn’t mean more luck.

Harder means done with a great deal of force. You are expanding your energy and as a business owner its super important to manage   your energy. 

When you are listening to all the work harder advice out there you are going to run out of energy. And if you keep pushing you will eventually burn out. Thats the reality. I’ve been there and done that. 

The phrase “you must work hard” is a limiting belief formed by either the outside telling us that success only comes from blood, sweat and tears or the internal thoughts of I’m not enough or I don’t deserve it. 

Success is 80 percent psychological and 20 percent strategic

Tony Robbins

It requires a mindset plus the task we spend our time on. You need to know how you work best. You need to know your personality. The more you work on this part the easier it becomes to create success with less effort. 

Your task will align with your strengths and what you are good at. You won’t be working harder but working with more inspiration. Creating more energetic flow and once this is mastered the business piece will natural fall into place. 

Then it becomes about consistency. Consistently take action and you will see the results roll in and it will seem lucky. 

There is no magic formula for success just simple savvy business.

Today on the Savvy Business Show we talk with Radell Peischler of Fertility Boss.

Radell shares her story and how she’s is speaking knowledge to women who aren’t aware of their options.

Life happens fast and lots of factors play a role in why we are having kids later in life. Such as…

  • More debt when you leave college
  • More options available
  • Traveling more
  • Multiple careers

As an entreprenuer I hear a lot of entrepreneurs are saying “I’m not there yet, I don’t have the  income level so I’m going to wait.”

Women are getting educated and they are smart and know what they want. So they are establishing something in their lives that is not a family yet but they want one later.

However, while you wait there are options that you can ask your OBGYN about. Fertility declines as you get older. But there are resources available that can let you know your ovarian fertility reserve.

You’ll have to advocate for yourself because everyone is busy and its not always a subject that even doctors what to talk with you about. Don’t be afraid to ask.

There is a test available that is a series of blood work to analyze your hormones along with a vaginal ultrasound and based on your results identify the next steps available for you. 

Don’t be afraid to change doctors and find one in your corner.

Egg Freezing

Let’s dive into a little more about egg freezing.

While Radelle agrees that it is a great option available for women its not for everyone. Some things to consider if it’s a good fit for you. 

  • Making sure your doctor has been practicing for a long time and is board certified. 
  • Ovarian test to make sure you meet the requirements first
  • Birth control to sync your cycle 
  • A really good clinic will want to see you in the beginning daily. 

Note: Your body releases one egg per month – by using egg freezing you are using certain medicines to enhance your body to release more eggs per month.

You can absolutely do your normal day through the process until egg retrieval day. Radell sugget to plan that day off and rest.

The amount of time your eggs can remain frozen will vary based on the age you freeze your eggs and your health. Listen to what your doctor recommends.

You’ve tried it all and somehow it is still not working. Today on the savvy business show I am sharing three (3) things you must implement when you’ve tried it all and you aren’t getting the results you want in your business. 

You may be feeling super frustrated because you’ve tried everything and you are not alone. We’ve all been there where we’ve tried all the strategies the guru’s told us to do.

Then there was some new must-try strategy and then another one. So we try everything the experts say and we still don’t have the results we want. 

All you need is a few tweaks. 

Let’s talk a little more about 3 missing ingredients when you’ve tried all the things and things aren’t working: 

Measuring Results

Are you measuring what is working and what is not? Are you paying close attention to everything?

You need to gain clarity, focus in order to take inspired action and make those small adjustments that will skyrocket your success.

Consistency

In order to see the desired results, you have to be consistent. You need to do things that produce revenue. Giving it a minimum of 60 to 90 days of measuring. Consistency is key in an ever-changing world of strategies. 

  • Building relationships, community, tribe aka customer service
  • Quality/good product and service that solves a problem for a client
  • Know your core money-making activities and do them consistently

Mindset

If you’ve tried all of the strategies and you are being consistent then getting in the right mindset is going to be a major factor in your success.

When you are in the right mindset you’ll be able to identify what is the right strategy for you and your business. Making decisions based on confidence level versus fear. You’ll be less reactive and be able to come up with key solutions to challenges.

We talk about the five lessons learned from running a start-up from punching down the barriers of your expectations to simply getting started.

Lesson 1

Just do it. Start by taking tiny steps to move forward and investing in yourself. Consistent action is where you are going to see the results.

We overestimate what we can accomplish in a year and underestimate what we can accomplish in three.

This is true for whatever time frame you want to give it. We overestimate what we can accomplish in a week and underestimate what we can accomplish in a month.

Lesson 2

Trusting your own intuition. You are capable of doing so much more. There is a lot of noise out there and you need to stop listening to everyone’s talk that doesn’t know you or your business personally or intimately.

You are an expert in your business and no ones know it better than you.

Lesson 3

Prioritize exercise. You have to start looking at yourself like an athlete – high-performance mode. Exercise, nutrition and sleep are at the top of this list.

Making these three things a priority will help you to be more clear in your thinking. Allowing you to make better decisions in your business and feel more at peace with yourself.

Lesson 4

Hiring a team. Trust your instinct about hiring a team. You have to have a connection with the people you hire. You have to believe that they will bring you up.

Find a team with a diverse skill set to help you. Allow your team to manage up. What does that mean? It means that you allow them to manage you letting you know what they think you can do better or improve on.

Lesson 5

Everything takes longer than you expect from launch to marketing plans. At the start of a business, there is such a steep learning curve. You’ll see this curve each time you add something new and it takes a little bit longer.
